Developing a Board Meeting Agenda

A productive board meeting is dependent on a well-crafted agenda. An effective agenda should include all the essential items that need to be discussed during the meeting as well as an estimated time for each item. This will allow the board to stay on track and not overrun.

In addition to the listed items, your board meeting agenda should also include any other documents that will be relevant to the discussion (such as reports of the board or presentations). It’s also recommended to circulate all of these in advance, at least one week prior to the date of the meeting. This allows all members to go through the materials prior the meeting and be fully prepared to discuss the issues on the agenda.

In addition, it’s crucial to clearly define the next steps to take after the board has discussed each item. This ensures an understanding of who is responsible for what and helps to ensure that all members are on the same page.

It’s not uncommon for meetings to veer off from the theme boardroom or to go over the time allotted to each subject. While it’s perfectly acceptable to occasionally do this, if it occurs frequently the board may be missing important topics or wasting time on non-essential matters.

Make sure that your board agenda is logical and has space for special announcements as well as recognitions. Don’t be afraid of being imaginative! You can add some color or include your organization’s branding. This can help make the agenda for your board visually appealing and easy to follow for board members.
